Terms of use
Pool Position private beta. Last updated 28 October 2026.
In short: look up swimmers only when you have a genuine reason to, such as yourself, your own child or swimmers you coach. Never use Pool Position to follow, contact or single out a child. Keep what you see and download within your family or club. If anything worries you about a child’s safety, tell us.
1. About these terms
These terms cover your use of Pool Position at poolposition.org (“Pool Position”, “we”, “us”). By using it you agree to them, and to use it in the way our privacy notice describes. If you don’t agree, please don’t use Pool Position. Operator: [company name and number].
Pool Position is in private beta: it’s being tested with a small group, it’s free, and features may change, pause or stop. We’ll keep these terms up to date as it changes.
2. Who can use Pool Position
- It’s for parents and carers, coaches, club officials and swimmers aged 13 or over.
- Swimmers under 13 should use it only with a parent or carer.
- Beta access is personal to you. Don’t share the site password: if someone else would like to try Pool Position, ask them to contact us.
3. Looking up swimmers responsibly
Swim England publishes its rankings so swimmers, families and clubs can follow results. Pool Position only makes those results easier to read. Most of the swimmers in them are children, so these rules apply to everyone:
- Only look up swimmers you have a genuine reason to: yourself, your own child or a child you care for, swimmers you coach or manage, or for your club’s competition planning.
- Never use Pool Position to track, contact, approach or build a picture of a child you don’t have that connection with, or to find out where they will be swimming.
- Don’t use what you find to embarrass, pressure or compare a child unkindly, in person or online.
- If you see anything that worries you about a child’s safety, email support@poolposition.org with “SAFEGUARDING” as the subject. If a child is in immediate danger, call 999. You can also call the NSPCC on 0808 800 5000.
4. Coaches and club officials
The whole-club report, “who to enter” and the relay picker show every ranked swimmer at a club. If you use them:
- Use them only for your own club’s coaching, selection and competition planning.
- Follow your club’s safeguarding policy and Swim England’s Wavepower guidance.
- Keep downloads (CSV, Excel, PDF) to people at your club who need them, store them securely, and delete them when you no longer need them.
- Don’t share swimmers’ results with anyone outside the club, or post them online, without the club’s agreement.
5. Things you must not do
- Republish ranking lists, club reports or downloads publicly, including on social media or another website.
- Build your own list or database of swimmers from Pool Position, or use it for marketing or other commercial purposes.
- Use scripts, bots or scrapers, or send so many requests that it slows Pool Position or swimmingresults.org down.
- Try to get round the site password, the limits on requests, or any other security measure.
- Upload anything that names swimmers (such as entry lists or results) to the staff area, if you have access to it.
- Break the law, or interfere with Pool Position or anyone using it.
6. Where the information comes from, and how accurate it is
- Rankings come from Swim England’s public last-12-months rankings at swimmingresults.org, read when you search. Pool Position is independent and isn’t affiliated with, or endorsed by, Swim England.
- Qualifying times come from each county, region and national body’s own documents. They’re read partly by automated tools, including an AI model, and checked, but they can be wrong or out of date.
- Positions, qualification results, relay teams and pacing are a guide. Always check entries, deadlines and qualifying times with your club and the championship’s official documents before you rely on them.
- Swimmers shown as “Member Hidden” by Swim England are never shown. To correct a result or hide a swimmer, contact your club or Swim England; the change then reaches Pool Position.
7. Plans, prices and payments
Rankings are free on Standard. Pro is £2 a month and Coach is £10 a month. [Confirm whether prices include VAT] During the beta everything is free and we take no payment: this section applies once paid plans open, and we’ll tell you before anyone is charged.
- Monthly payments: you pay each month in advance, on the day of the month you subscribed. Payments are taken by Stripe; your card details go straight to Stripe and we never see or store them.
- Renewal and cancelling: your plan renews every month until you cancel. You can cancel at any time from your account, or by emailing support@poolposition.org. You keep your plan until the end of the month you’ve paid for, and you won’t be charged again.
- Changing your mind: you can cancel within 14 days of first subscribing. If you asked us to start straight away, we’ll refund what you paid less a fair amount for the days you used.
- If Pool Position lets you down: if Pool Position, or a feature your plan includes, is unavailable for more than 48 hours in total in a month you’ve paid for, we’ll refund that month in full. Email support@poolposition.org within 2 months of the month in question. Delays at swimmingresults.org that slow searches down but don’t stop them don’t count.
- Other refunds: we’ll always refund a payment taken twice or in error. Otherwise, a month that has started isn’t refundable, except where the law says it must be.
- Price changes: we’ll email you at least 30 days before a price changes, so you can cancel before it applies.
- Missed payments: if a payment fails, Stripe will try again over the next few days. If it still can’t be taken, your plan’s paid features pause until it is.
Nothing in these terms affects your statutory rights as a consumer.
8. Your data
How we handle data, including the swimmers in the rankings, is set out in our privacy notice and on how it works. We don’t sell data, show adverts or track you, and we don’t send marketing to children.
9. If these terms are broken
We can withdraw access, without notice, from anyone who breaks these terms, especially where a child’s safety may be at risk. Where it’s right to, we may tell the person’s club, Swim England or the police.
10. Ownership
- Pool Position’s software, design and name are ours. You may use Pool Position for your own, your family’s or your club’s purposes, but not copy or resell it.
- Rankings and results belong to Swim England, and qualifying times to the body that publishes them. Using Pool Position gives you no rights in them.
11. Availability and our responsibility to you
- Pool Position is provided as it is during the beta. It may be unavailable at times, for example when swimmingresults.org is busy, and we may change or stop features. If you’re on a paid plan, section 7 says when you can have a month refunded.
- We aren’t responsible for decisions made using Pool Position, such as championship entries, or for losses we couldn’t reasonably have foreseen.
- Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn’t allow us to limit.
12. Changes to these terms
We’ll update these terms as Pool Position changes, and change the date at the top. If a change matters, we’ll say so on the site before it takes effect. Using Pool Position after that means you accept the new terms.
13. Law
These terms are governed by the law of England and Wales, and disputes go to its courts. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
14. Contact
Questions, concerns or a report of misuse: support@poolposition.org. Put “SAFEGUARDING” in the subject for anything about a child’s safety, and we’ll deal with it first.
